What is exception management in finance?
Exception management is the systematic process of identifying financial transactions that cannot be processed automatically — because they fail a matching rule, breach a tolerance threshold, or lack required information — routing them to the right person for investigation, and tracking their resolution.
Why exception management matters
Exceptions are inevitable. No automated system matches 100% of transactions. Exceptions that sit unresolved accumulate — and at period end, an accumulation of unresolved exceptions is what turns a two-day close into a ten-day close.
Effective exception management means exceptions are caught early (during the month, not at close), routed to the right person immediately, resolved with the context they need, and cleared before they can affect the period-end timeline.
How exception management works
Detection. Automated matching or validation logic identifies a transaction that cannot be processed. Common triggers: no matching purchase order, amount outside tolerance, duplicate invoice number, unmatched reconciliation item.
Classification. The exception is categorised by type and severity. High-value exceptions or exceptions approaching payment deadlines are flagged as urgent.
Routing. The exception is assigned to the relevant owner.
Investigation. The owner reviews the exception and determines the correct resolution.
Resolution. The exception is resolved and cleared from the exceptions queue.
Reporting. Exception volumes, aging, and resolution rates are tracked as operational metrics. Rising exception rates signal process problems upstream.
Exception management and close
In organisations with weak exception management, the close sprint is largely an exception-clearing sprint. In organisations with strong exception management, exceptions are cleared continuously throughout the month and close is primarily a sign-off activity.
